About the Team:
We are seeking a motivated and organized Events Specialist to join Medidata's Events team. The ideal candidate will be responsible for leading the planning, organization, and execution of a variety of industry and corporate events and webinars, ensuring that all strategic, logistical, and operational aspects are efficiently handled; events are designed to drive demand, awareness, and engagement; and create memorable experiences for attendees. Basic logistics, including venue research and set-up, catering, and technical requirements are expected. The Events Specialist will work closely with internal teams, conference organizers and vendors to ensure each event's success from concept to completion and delivery of business outcomes.
Responsibilities:
Event and Webinar Planning: Develop and support detailed event plans, including timelines, budgets, and task assignments. Coordinate all logistical aspects, not limited to: venue selection, catering, transportation, entertainment, swag, audio-visual requirements, vendor management, promotion planning, and internal coordination.
Vendor Management: Build and manage relationships with vendors, including timely onboarding and payment with procurement and finance. Oversee contracts, deliverables and timelines with external parties.
Team Collaboration: Work closely with internal teams, such as product marketing, sales, and communications, to align event and demand generation strategies with overall company objectives. Collaborate across all marketing disciplines to prioritize campaigns, integrate events into broader initiatives and achieve business and marketing goals. Partner with team members to ensure seamless event execution.
Strategy & Results: Participate in defining event targets and document plans to deliver on reputation, demand and engagement objectives.
On-Site Execution: Oversee event setup, execution, and breakdown. Ensure all activities run smoothly and address any issues that arise promptly.
Budget Management: Create and maintain event budgets, adjust plans as necessary to stay within budgets.
Post-Event Evaluation: Conduct post-event evaluations to gather feedback, assess event success, and identify areas for improvement. Prepare reports summarizing event outcomes and lessons learned.
Research: Perform research that supports event priorities and different requirements.
Qualifications:
Bachelor's degree in Event Management, Hospitality, Marketing, Business, or a related field.
2-4 years of experience in event management, planning and execution.
Excellent organizational and multitasking skills, strong communication and interpersonal skills and problem-solving capabilities.
Ability to remain calm under pressure and showcase a professional demeanor.
Energetic team player with the ability to function independently, as well as, in a collaborative environment.
Knowledge of the Life Sciences industry preferred.
Strong Google Slides/PowerPoint skills, with an eye for visual storytelling.
Working knowledge of event software such as Cvent, Eloqua is a plus.
Willingness to work flexible hours, including evenings and weekends, and travel to event sites.
The salary range posted below refers only to positions that will be physically based in the New York Metro Area. As with all roles, Medidata sets ranges based on a number of factors including function, level, candidate expertise and experience, and geographic location. Pay ranges for candidates in locations other than the New York Metro Area, may differ based on the local market data in that region. The base salary pay range for this position is $79,000 - 106,000.
Base pay is one part of the Total Rewards that Medidata provides to compensate and recognize employees for their work. Most sales positions are eligible for a commission on the terms of applicable plan documents, and many of Medidata's non-sales positions are eligible for annual bonuses.
